Understanding Team Analytics and Reports

Team Toggle's analytics give you valuable insights into your team's leave patterns. Use this data to plan better, spot trends, and make informed decisions.

Accessing Analytics

To view team analytics:

  1. Click Analytics from the Admin section of the navigation menu
  2. The analytics dashboard displays with your team's data
  3. Use filters and date ranges to focus on specific periods

Analytics is available to managers and administrators.

Leave Heatmaps

The heatmap shows leave density across the year:

  • Colour intensity – Darker colours mean more people off on that day
  • Patterns – Spot popular leave periods at a glance
  • Gaps – Identify times when few people take leave

Use the heatmap to understand when your team prefers to take time off and plan coverage accordingly.

Key Metrics

The analytics dashboard typically displays several important numbers:

  • Total Leave Taken

    The total number of leave days used by your team in the selected period.

  • Average Days Per Person

    How much leave each team member has taken on average.

  • Leave Remaining

    Total unused leave days across your team – helps plan for year-end.

  • Peak Days

    The dates with the most people off – useful for identifying potential coverage issues.

Absence Statistics

Analytics also tracks unplanned absences:

  • Total absences – Number of unplanned absence days
  • Absence types – Breakdown by category (sick, emergency, etc.)
  • Trends – Compare absence rates over time

This helps you understand absence patterns and identify any concerning trends.

Department Comparisons

If you have multiple departments, you can compare:

  • Leave usage between departments
  • Absence rates across teams
  • Approval times and patterns

This helps ensure consistency and identify departments that may need attention.

Time Period Selection

Adjust the date range to see different views:

  • This month – Recent leave activity
  • This quarter – Seasonal patterns
  • This year – Full year overview
  • Custom range – Specific periods you want to analyse

Using Analytics for Planning

Analytics can help you:

  • Predict busy periods – Plan ahead for times when many people want leave
  • Balance workloads – Ensure coverage during popular holiday periods
  • Track policy effectiveness – See if your leave policies work as intended
  • Identify concerns – Spot team members who haven't taken enough leave

Tip

Review analytics at the start of each quarter to plan ahead. Look at the same period from previous years to anticipate trends.

Leave Balance Overview

See how much leave your team has remaining:

  • Individual balances – See each person's remaining days
  • At-risk balances – Identify people who might lose unused days
  • Usage trends – Track how quickly leave is being used

Use this to encourage team members to take their leave throughout the year rather than rushing at year-end.

Exporting Data

Depending on your permissions, you may be able to export analytics data:

  • Download reports as Excel or CSV files
  • Use exported data for further analysis
  • Share reports with HR or senior management

Look for export or download buttons in the analytics section.

Privacy and Data Access

Analytics data is aggregated to protect individual privacy where appropriate:

  • Managers see data for their teams
  • Administrators see organisation-wide data
  • Some detailed views may require administrator access
