How to Request Annual Leave

Requesting time off in Team Toggle takes just a few clicks. This guide walks you through submitting leave requests for single days, date ranges, and half-days.

Before You Start

Before submitting a leave request, it's worth checking:

  • Your leave balance – Make sure you have enough remaining days for your request
  • The team calendar – Check if anyone else is already off during your requested dates
  • Your company's notice period – Some organisations require advance notice for leave requests

Requesting a Single Day Off

To request a single day of annual leave:

  1. Navigate to Annual Leave from the main menu
  2. Click the Request Leave button
  3. Select your start date from the calendar
  4. Leave the end date as the same day (it should default to this)
  5. Select the leave category if applicable (e.g., "Holiday")
  6. Add an optional note explaining your request
  7. Click Submit Request

Requesting Multiple Days

For consecutive days off:

  1. Navigate to Annual Leave from the main menu
  2. Click the Request Leave button
  3. Select your start date (the first day you want off)
  4. Select your end date (the last day you want off)
  5. The system will automatically calculate how many working days are included
  6. Add an optional note
  7. Click Submit Request

Team Toggle automatically excludes weekends and any designated days (like bank holidays) from your request, so you'll only use leave days for actual working days.

Requesting Half-Day Leave

If you only need a morning or afternoon off:

  1. Navigate to Annual Leave and click Request Leave
  2. Select your date
  3. Look for the half-day option
  4. Choose whether you want the morning or afternoon off
  5. Submit your request

Half-day requests use 0.5 days from your annual leave balance.

Tip

Half-day leave is perfect for appointments, school events, or when you need to travel for a long weekend.

What Happens After You Submit

Once you've submitted your request:

  1. Confirmation – You'll see an on-screen confirmation that your request was submitted
  2. Email notification – You'll receive an email confirming your request details
  3. Manager notification – Your manager is notified that you've submitted a request
  4. Pending status – Your request appears as "pending" in your leave list

Your manager will then review your request and either approve or decline it. You'll receive an email notification either way.

Viewing Your Requests

To see all your leave requests and their status:

  1. Go to Annual Leave from the main menu
  2. You'll see a list of all your requests with their current status
  3. Pending requests are waiting for approval
  4. Approved requests will appear on the team calendar
  5. Declined requests show the reason if your manager provided one

Request Status Meanings

  • Pending Your request is waiting for your manager to review it
  • Approved Your leave has been approved and is confirmed
  • Declined Your request was not approved – check for a reason from your manager

Tips for Successful Requests

  • Book early – Submit requests as far in advance as possible, especially for popular times like school holidays
  • Check the calendar first – See if colleagues are already off to avoid coverage issues
  • Add a note – A brief explanation can help your manager approve quickly
  • Follow up – If your request has been pending for a while, speak to your manager directly
