Sometimes a leave request needs a quick conversation before it can be approved. Comments let you discuss a request directly inside Team Toggle — no emails or Slack messages needed.
Who Can Comment
Comments are available to anyone involved in the leave request:
- Team members can comment on their own leave requests
- Managers can comment on any leave request in their team
- Administrators can comment on any leave request across the organisation
Only the people listed above can see the comments on a given request. Other team members cannot view comments on someone else's leave.
Adding a Comment
To comment on a leave request:
- Navigate to Annual Leave (for your own requests) or Approvals (for requests you manage)
- Click the chat icon next to the leave request you want to discuss
- A comment panel will open showing any existing conversation
- Type your message in the text field (up to 500 characters)
- Click Send to post your comment
Tip
If a leave request already has comments, a blue badge on the chat icon shows the comment count so you can quickly see which requests have an active conversation.
Email Notifications
When someone adds a comment, the other person is automatically notified by email:
- If an employee comments on a pending request, the team's manager receives the notification
- If an employee comments on an already-approved request, the manager who approved it receives the notification
- If a manager comments on a request, the employee who made the request receives the notification
Each notification email includes a View & Reply link that takes you straight to the request so you can continue the conversation.
When to Use Comments
Comments are useful whenever a request needs context or clarification. Common examples:
- Asking an employee if their dates are flexible before approving
- Explaining why a request was declined and suggesting alternative dates
- Adding context to a request, such as "booked flights — dates confirmed"
- Flagging a potential team coverage issue before the request is reviewed
Good to Know
Comments are permanent and cannot be edited or deleted. This keeps a clear record of the conversation around each request, so make sure your message is accurate before sending.
Comment History
All comments on a request are displayed in chronological order. Each comment shows:
- The commenter's name and avatar
- The date and time the comment was posted
- The full comment text
The conversation thread scrolls automatically to the most recent comment when you open it, so you can pick up right where you left off.
Comments Replace Back-and-Forth Emails
Instead of switching to email or a messaging app to discuss a leave request, keep the conversation attached to the request itself. Everything stays in context and nothing gets lost.
