How to Check Your Annual Leave Balance

Knowing how many leave days you have available helps you plan your time off. Team Toggle makes it easy to see your balance at any time.

Finding Your Leave Balance

Your annual leave balance is displayed in the Annual Leave section of Team Toggle:

  1. Click Annual Leave from the main navigation menu
  2. Your remaining balance is prominently displayed at the top of the page

Understanding Your Balance

Your leave balance typically shows several figures:

  • Total Entitlement

    The total number of annual leave days you're entitled to in the current leave year. This is set by your leave policy.

  • Days Used

    The number of days you've already taken or have approved for the current leave year.

  • Days Remaining

    Your available balance – the number of days you can still book.

  • Pending

    Days in pending requests that haven't been approved yet. These aren't deducted from your remaining balance until approved.

How Your Balance Is Calculated

Team Toggle automatically calculates your balance based on:

  • Your leave policy – The number of days your organisation has assigned to your policy
  • Approved leave – Days that have been approved by your manager
  • Half-days – Half-day requests count as 0.5 days
  • Working pattern – If you work part-time, your entitlement may be pro-rated
  • Carry-over days – If your policy allows carry-over, unused days from the previous year are added to your balance
  • Service bonus – If your policy rewards length of service, additional days are included based on your start date
  • Manual adjustments – Your manager can add or remove days from your balance for special circumstances such as performance bonuses, TOIL, or corrections

Leave Year

Your leave balance resets at the start of each leave year. The leave year dates are set by your organisation and may follow:

  • The calendar year (January to December)
  • The financial year (April to March)
  • A custom period set by your organisation
  • Your work anniversary — if your organisation uses anniversary-based resets

Check with your manager or administrator if you're unsure when your leave year starts and ends.

Viewing Your Leave History

To see a complete history of your leave requests:

  1. Go to Annual Leave from the main menu
  2. Scroll down to see all your requests
  3. Each request shows the dates, status, and number of days

You can see both current and past leave requests, which is helpful for planning and record-keeping.

What If My Balance Looks Wrong?

If you think your balance is incorrect:

  1. Check pending requests – Remember that pending requests don't reduce your balance until approved
  2. Review your leave list – Make sure all displayed requests are ones you actually submitted
  3. Check the dates – Ensure you're looking at the current leave year
  4. Check carry-over – If your policy allows carry-over, confirm whether days from the previous year were transferred correctly
  5. Check service bonus – If your policy includes a length-of-service bonus, verify your start date is recorded correctly
  6. Check adjustments – Your manager may have added or removed days via a manual adjustment. These are shown in the Allowance figure and in an info box on your Annual Leave page
  7. Speak to your manager – They can view your balance and help resolve any discrepancies

Your manager or administrator can adjust your balance if needed, for example to add carried-over days from the previous year.

Planning Your Leave

Use your balance information to plan your time off throughout the year:

  • Don't leave it too late – Try not to have too many days left at year end
  • Use Smart Suggestions – Team Toggle can help you maximise your time off around bank holidays
  • Book popular times early – School holidays and festive periods fill up quickly
  • Spread it out – Regular breaks help maintain work-life balance
