Plans change, and that's okay. Team Toggle makes it easy to cancel leave requests when you need to, whether they're still pending or already approved.
When You Might Need to Cancel
Common reasons for cancelling leave include:
- Your plans have changed and you no longer need the time off
- An important meeting or project has been scheduled during your leave
- You made a mistake with the dates when submitting
- Personal circumstances have changed
Cancelling a Pending Request
If your leave request hasn't been approved yet, you can easily delete it:
- Navigate to Annual Leave from the main menu
- Find the pending request you want to cancel
- Click on the request to view its details
- Look for the Delete or Cancel button
- Confirm that you want to delete the request
The request will be removed immediately, and any days will be returned to your available balance.
Cancelling Approved Leave
You can also cancel leave that has already been approved:
- Go to Annual Leave from the main menu
- Find the approved request you want to cancel
- Click on the request to view its details
- Click the Delete or Cancel button
- Confirm the cancellation
Good Practice
If you're cancelling approved leave, especially at short notice, it's courteous to let your manager know directly. They may have made plans based on your expected absence.
What Happens to Your Balance
When you cancel a leave request:
- Immediate restoration – The days are instantly returned to your available balance
- No approval needed – You don't need to wait for your manager to approve the cancellation
- Calendar update – The leave is removed from the team calendar
Modifying Leave Dates
Team Toggle doesn't allow direct editing of leave requests. If you need to change the dates:
- Cancel the existing request
- Submit a new request with the correct dates
This ensures a clear audit trail and prevents confusion about what was originally requested versus what was changed.
Cancelling Part of a Request
If you have a multi-day leave request but only need to cancel some of the days:
- Cancel the entire original request
- Submit a new request for only the days you still need
For example, if you booked Monday to Friday but now only need Monday to Wednesday, delete the original request and submit a new one for the three days you want.
Cancellation Notifications
When you cancel a request:
- Pending requests – Your manager may receive a notification that you withdrew your request
- Approved requests – Your manager is typically notified that you've cancelled approved leave
This keeps everyone informed about changes to the team's schedule.
Can't Cancel Your Request?
In some cases, you might not be able to cancel leave yourself:
- Past dates – You can't cancel leave that has already passed
- Policy restrictions – Some organisations have rules about cancelling leave within a certain timeframe
- Administrator override – The leave may have been entered by an administrator
If you can't cancel a request yourself, speak to your manager or administrator for assistance.
Cancelling Leave Added by Your Manager
Sometimes managers add leave on behalf of team members. If you need to cancel leave that was added by someone else:
- Check if you have permission to delete it yourself
- If not, ask your manager to remove it for you
Changed Your Mind?
If you accidentally cancel the wrong request, simply submit a new one for the dates you need. There's no penalty for resubmitting.
